Events Assistant 

Status: Full-time (6-month contract, with possibility of extension)

The ICC office is in downtown Toronto, with some team members working remotely in different locations across Canada. 

About the Role

Reporting to the Director, Events you will possess a high level of enthusiasm for our work and for ensuring that each of the ICC’s events is executed with precision and in the best interest of our audience. 

As an Events Assistant, you will be part of a team planning virtual and in-person events across Canada Primarily, you will be responsible for maintaining our CRM, managing our planning tools, resources, and templates, as well as assisting our events specialists with researching and securing guests for ceremonies. You will be providing administrative support for the events team and will be working collaboratively with colleagues to deliver support service that will advance the goals of the events team. 

  

What you’ll do   

Provide a high level of administrative support for the events team, including internal and external communications, including being responsible for:  

  • Providing on-site support and event management for ICC events, including day of event support at 4-5 over night trips across Canada (per quarter) 
  • Maintaining accurate and up-to-date data in our CRM system 
  • Sourcing and securing event vendors such as rentals, AV production, catering, etc.  
  • Identifying potential venue(s)   
  • Securing ceremony guests, including Indigenous representatives, speakers, and performers.  
  • Meeting regularly with events team to identify opportunities for improvements to our tools and processes 
  • Identifying opportunities to connect ICC events to other initiatives such as fundraising, advocacy, or our Canoo Program  
  • Developing communications materials promoting ICC events, such as website content, social media and internal documents  
  • Assisting in daily operations, special projects and other duties that contribute to the successful operation of ICC and its initiatives.

  • Post-secondary education and/or work experience in an administrative role, events experience is an asset 
  • Demonstrate ability to collect and analyze data and manage multiple concurrent projects with tight deadlines  
  • Experience with CRM system, i.e. Salesforce  
  • Strong interpersonal, networking, and negotiation abilities 
  • Excellent verbal communication skills 
  • Accurate proofreading and cross-referencing skills 
  • A positive mind-set and an ability to think critically  
  • Tech savvy and comfortable with assisting with A/V at events as required 
  • Creativity, writing and editing skills that can communicate complex ideas in a clear and engaging manner to difference audiences.   
  • “All hands-on deck/can do” mentality – no job is too big or too small, we work as a team  
  • A valid “G” Driver’s License and ability to travel within Canada. 

  

  

Compensation  

  • A base salary of $52,500 – $57,750, commensurate with experience  
  • Plus 10% salary premium if you are professionally bilingual in English and French
